Red-tagged by Portland Fire & Rescue? Your 10-step re-inspection roadmap

A red tag is not a disaster — but it is a clock. Portland Fire & Rescue typically gives you 30 days to correct and re-inspect before enforcement escalates. Here's the order of operations we use to get buildings back to green without racking up fire watch cost or a repeat fine.

1.Read the actual deficiency list

The inspector's report cites specific NFPA sections. Don't guess — pull out the sections, map each cited item to a line in your most recent report. Half the time the deficiency was flagged in your last inspection too and just never got corrected.

2.Decide: repair, replace, or impairment

Not every deficiency has to be fixed on day one. Some can be managed under a documented impairment plan while you source parts — this stops the fire watch clock from running 24/7 at $30-45/hour.

3.Get a written scope — line items, not lump sum

Every deficiency gets its own line. Price, parts, labor hours. This is what your insurance, board, or ownership will ask for — have it ready. A lump sum quote is a red flag.

4.Order parts before you schedule the tech

Panels, smoke detectors, sprinkler heads, and communicators can be 3-10 day lead times from the manufacturer. Don't dispatch a tech until parts land on the loading dock.

5.Set the fire watch correctly

Impairment requires fire watch. A fire watch is not someone who sits at the front desk — it's a trained person walking a documented route with a log. NFPA 25 and 72 both specify the log format and acceptable interval (typically 30-60 minute rounds).

6.Install, test, document each item

Each corrected deficiency gets photographed before and after, tested by the tech, and logged against the original citation number. This documentation is exactly what the AHJ wants to see on re-inspection.

7.Schedule re-inspection with same AHJ contact

Ask for the re-inspection to be assigned to the same inspector when Portland Fire & Rescue allows it — they already know your building and the specific issues.

8.File corrected report with the AHJ portal

Portland Fire & Rescue accepts digital filings for most corrections. Don't rely on the inspector's handwritten notes — get a corrected report in writing from your contractor and upload it yourself to confirm receipt.

9.Request written confirmation of cleared status

A verbal "you're good" from a fire marshal is not legally sufficient. Request written confirmation on letterhead — email works, but you need it in writing for your insurance file.

10.Set calendar reminders for next required test

The 30-day clock is done; the annual clock keeps ticking. Add it to your facility calendar with a 60-day warning so the next inspection doesn't surprise you.

Most red tags in Portland commercial buildings can be cleared in 10-14 days when the contractor and owner move in parallel. Lost time comes from waiting on parts you haven't ordered and scope you haven't scoped.
